- How are my media files transcribed? Once we receive your digital media files, they are passed on to a group of experienced transcriptionists. Once they have finished transcribing, the transcripts are re-checked for errors by another transcriptionist. Finally, the transcripts are once again proofread by a chief editor to ensure the highest level of quality, before the transcript is then emailed back to you.

Do you have preferences for recording formats?
We prefer digital formats like mp3, wav, quicktime, mov, avi, wma, aiff, etc. compared to non-digital audio formats simply because we send the audio to our transcribers through our secure website. However, if you have a different format (tape, cd, dvd) give us a call and we'll come up with a solution.As far as specific formats, we have yet to run into one we have not been able to handle, in fact we have a dedicated computer server for converting formats and we put it on a ridiculously fast internet connection. Also, some production cameras insert timecode directly into the audio and call it LTC (pronounced "lit-see"). It sounds like a fax machine when you play it, and, yes, we can handle that too.

How does your pricing system work?
Digitap Services charges a per minute transcription rate to help you to avoid the billing surprises of a per work hour rate, per page rate, or a "we'll let you know" rate. You know what the cost will be before you send it to us.As far as timecode: timecode is a separate charge as a number of our clients (universities, churches, conferences, etc.) do not need timecode. So if you are a documentary or other production company that needs timecode then the prices start with the base rate, plus the timecode. An average production transcript costs either $2 or $2.25 per minute depending on the number of speakers.It is additional for rush orders, but we offer significant discounts for jobs that that have over a two week deadline. Give us a call and we'd be happy to work with you on your production, conference, or other transcript project.

How soon can I get my transcripts?
Overnight RUSH: Our fastest service is the overnight service. If your digital media file is uploaded to our server by 7 pm EST then you can chose to have an overnight delivery that will ensure you have your transcript by 9 am EST the next morning.24 hours RUSH: If you select 24 hours rush, then from when your digital media file is uploaded to our server we will deliver your completed transcript within 24 hours.1-2 day RUSH: If you select 1-2 days rush, then from when your digital media file is uploaded to our server we will deliver your completed transcript within 1-2 business days.STANDARD: Our standard option is delivered within 3 to 5 business days. If you prefer we'll email each of the transcripts to you as they are ready. Often you will receive the transcripts ahead of schedule and you can tell us which have more priority which we'll do our best to accommodate.2 WEEKS: If your deadline is more than two weeks out then we can offer a significant discount. Give us a call with the amount of footage or audio files that you need transcribed and we can work with you.
- Do you have a standard format for your transcripts? Yes, we do have a standard format created for readability and designed for documentary production companies, but we are flexible. If you have a certain way you prefer your transcripts to look then just let us know and we can accommodate.
- How can I test your services? We have a free trial offer for you, if you wish to test our services for their quality and turnaround time just give us a call or send us an email and tell us about your project. We are here to help you!
Getting Started
Steps to the Digitap transcription process
- Start by filling out our Digitap Contact Form.
- We'll contact you with information on how to upload your digital media files, or if you prefer, how we may retrive the files from you.
- We will work with you to answer several questions common for production transcription and conference transcription such as:
- What are the precise file names for Digitap to transcribe?
- What sort of turn-around time do you expect of Digitap?
- What sorts of header information should Digitap include in the final transcript document?
- To whom should the completed transcripts be delivered?
- How many speakers will Digitap be transcribing? (And, of course, what are their names or titles?)
- Do you want timecode noted in the transcripts?
- What are the start and end times on the provided file(s) for Digitap to transcribe? (Or, most commonly, whether we're simply transcribing the whole file.)
- Do you want verbatim transcriptions? (every um, uh, you know, and so forth)
- Do you want "radio chatter" recorded? (crew talking, beeps, buzzes, and so forth)
- Then follow the step by step instructions for uploading your digital file to our secure ftp server (provided via email). In the uploading process you will be asked for your user ID and password. We'll download your file and our highly qualified transcriptionists will complete your job and then email you the finished document. Note: You may also provide us ftp server details if you prefer we retrieve a digital media file from your location.

Transcriptions, at its simplest is the process of putting oral speech into a written text. The speech usually comes in the form of various audio and video files, but many also have these as tape cassettes. From this audio, text files can be created for word documents, PDF or simple text (.TXT).
Organizations use transcribing for: seminars, interviews, brainstorming sessions, documentary transcripts, production transcripts, conference transcripts, online media transcripts, and more.
